SUMMARY
Under the direction of the Chief Pharmacist, and according to department policies, procedures, and guidelines, the Certified Pharmacy Technician Inventory Specialist is responsible for supporting and implementing all aspects pertaining to the medication and supply procurement, maintenance, and bill payment processing for: Main Pharmacy, Central Fill Pharmacy, Specialty Pharmacy, and Central Mail Service; along with ordering, maintaining, processing and charging all distributed floor stock pharmaceuticals. This includes but is not limited to: purchasing medications and pharmacy supplies, monitoring and sustaining adequate inventory levels for pharmacy and floor stock items, rotating stock, managing expired/recall medications per policy, effectively utilizing return process to ensure proper credit is received from drug wholesaler/returns company, filling floor stock request items, and processing floor charges to various departments and practices. Position is responsible both accruing and processing daily wholesaler, supplies, and direct account bills per set policies. Performs a wide range of routine and complex Certified Pharmacy Technician duties in support of pharmacy operations. Assumes a lead role among support staff within the pharmacy to ensure all inventory initiatives, policies, and set expectations are implemented, managed, and adhered to. Contributes to building partnerships within all levels of the pharmacy program and practice as an energetic and engaged team member.
This role is approximately 80% Pharmacy Inventory Specialist and 20% Pharmacy based Certified Pharmacy Technician.
GENERAL DUTIES AND RESPONSIBILITIES
Pharmacy Inventory Specialist (80%):
  • Participates in development and implementation of strategic planning and standard work as it relates to supply chain management
  • Ensures purchasing contract compliance and effective cost management. Recommends and implements buying practices and other processes to support and enhance cost initiatives. Responsible for drug cost management & use of referred/lower cost products to improve margin loss. Communicates with Pharmacy Chief identified discrepancies.
  • Responsible to meet inventory turns set target.
  • Implements and manages pharmacy dispensing system min/max medication quantities to maintain compliance with procedural requirements. Facilitates the management of high volume medication and supply inventories by: making sure drug product is within date, rotate inventory as necessary, prevent avoidable drug stock-outs, manages drug shortages, ensures all fill on arrival medications are ordered and processed daily, store medications within USP guidelines, along with timely and accurate ordering/stocking of daily wholesaler/direct deliveries.
  • Coordinates and facilitates special purchase requests for medications and supplies. Responsible for tracking dropship medications and maintain supportive documentation such as invoices.
  • Ability to make sound decisions and conduct follow up calls for problematic medication and supply deliveries to the pharmacy, from the wholesaler/direct account.
  • Ensures assigned tasks are accurate and reviewed by supervising personnel as required before completing critical tasks: submitting orders, importing/exporting of data, ability to run then review key reports from pharmacy dispensing system to help identify problems within the suggested daily order based on pharmacy par levels (min/max) and drug budget before transmissions of daily orders.
  • Responsible to ensure confirmation of quantities received for each order, inspection for damaged shipment items, and other discrepancies. Reports to the Pharmacy Chief immediately any incorrect/damaged shipments and other safety issues. Resolves inventory issues including performs counting, investigating, and rectifying discrepancies.
  • Responsible to implement and administer the inventory and bill payment operating policies and procedures of the pharmacy department.
  • Maintains all purchasing invoice records appropriately by reviewing for accuracy and ensure proper payment/storage/filing. Process appropriate paperwork for transferring medication and supplies. Reviews invoices to reconcile bills/credits processed.
  • Conducts quarterly pharmacy expired medication audits per policy and ensures adherence.
  • Process all drug returns/recalls promptly and appropriately within the necessary management system. Adjust inventory levels as needed in pharmacy dispensing system when processed. Ensures packaged returns/recalls meet manufactures and wholesaler shipping requirements.
  • Inspects and re-stocks clinical areas and emergency carts throughout the site, as directed and per company policy.
  • Responsible to train other pharmacy staff to fill in as backup when needed and to communicate gaps to pharmacy Chief
  • Remains informed by reading all department communications. Serve as point person and content expert for all ordering of floor stock.
  • Performs all department required quality assurance responsibilities.
  • Maintains all medication/supply shelves and storage areas in a clean, organized, and orderly fashion.
Certified Pharmacy Technician (20%):
  • Performs all duties of a Certified Pharmacy Technician in support of the pharmacy program.
  • Performs other duties as assigned.

EDUCATION/LICENSES/CERTIFICATIONS
Graduate of an approved pharmacy technician program, or equivalent institutional/retail pharmacy experience. Must possess and maintain appropriate registration as required by Massachusetts Pharmacy Board of Registration, as well as National Pharmacy Training Certification.
Must possess a current MA Registered Pharmacy Technician license, as required by the Massachusetts Board of Pharmacy; and possess a current PTCB Certification as a Certified Pharmacy Technician
EXPERIENCE
Must be at least 18 years old with a minimum of five years of pharmacy experience required, retail pharmacy experience preferred. Must possess working knowledge of pharmacy operations such as laws and regulations related to pharmacy practice and patient confidentiality; knowledge of medication abbreviation and symbols, common dosage calculations, and storage requirements; and cash handling experience
SKILLS
Excellent organizational, customer service, analytical and problem solving skills. Strong personal computing skills, knowledge and ability to use Microsoft Office (Word, Excel, PowerPoint, etc.), required. Must demonstrate excellent patient service skills and strong communication skills. Able to use all electronic tools and applications relevant to the performance of the duties of the position, including but not limited to phone, keyboard, computer and computer applications. Ability to meet deadlines while influencing, but not directly managing, the work of others.

WORKING CONDITIONS / PHYSICAL DEMANDS
Busy pharmacy environment with frequent deadlines and interruptions. Position requires extensive public contact. Requires incumbent to function effectively and efficiently at a hectic pace. Infrequent/limited exposure to potentially hazardous chemicals.
