What You'll Do:

  • Manage and oversee front desk services including incoming calls, visitors, security and mail distribution
  • Functions as back-up receptionist when needed
  • Manage, maintain, and oversee all office supply needs for each office in the Company
  • Approve all office supply orders through Verian
  • Oversee all common areas and ensure proper stocking and cleanliness including supply and break rooms
  • Responsible for reviewing, approving, and submission of all expenses related to office needs
  • Coordinate and oversee all office machine maintenance and supply needs (copy machine repairs and maintenance, postage machine repairs and maintenance, and postage supply, etc.)
  • Serves as primary contact and liaison with Building Management regarding maintenance, parking, security, and safety
  • Serve as liaison with off-site file storage vendor
  • Maintain vendor relationships for miscellaneous vendors
  • Responsible for the purchasing software (Verian) administration at VISTA
  • Maintain relationships and coordinates with national support offices for specialized vendor categories such as facilities and telephones

  • Possess excellent organizational skills
  • Clear and effective communication skills
  • Working knowledge of Microsoft Office Suite
  • Excellent interpersonal skills necessary to work cooperatively with multiple departments and external customers
  • Ability to maintain confidentiality in a variety of situations
  • Self-motivated; ability to work without direct supervision
