The incumbent is part of a global public health organization and is expected to support the Pinellas County Health Department in its mission to protect, promote, and improve the health of all people in Florida through the integrated state, county and community efforts and its vision to be the Healthiest State in the nation.  Furthermore, the incumbent is expected to incorporate the agency values of Innovation, Collaboration, Accountability, Responsiveness, and Excellence in all aspects of their work. 

 

The clerical support position for the Healthy Families Program is responsible for data entry: accurately enters and maintains information for the program's databases and various client tracking systems including: HMS, HFF, and GEMS.  Performs data cleaning functions and on-going quality assurance reviews.  Meets grant goals and objectives, programmatic and funder requirements, and licensure as applicable.  Maintains standards and applicable regulations for personnel, medical records management, and programmatic/funder requirements. Produces database reports for the Healthy Families staff upon request.

Types correspondence, completes TARs and reimbursements in the Go Travel System, and completes special projects.

Copies, faxes and scans. Responsible for maintaining the integrity of the Electronic Health Record by accurately scanning documents into the client records on a daily basis.

 

Operate a variety of standard business and office machines. 

 

Clerical Support for staff: Acts and sets up case files, runs labels for client files, performs abuse registry checks through FSFN.

Processes new referrals, opens and registers clients in data systems and closes clients in the data systems.

Acts as a receptionist, answers phones, takes messages, greets and routes visitors and assures appropriate professional communications. Provides coverage for other staff in the Healthy Families Offices.

Creates forms and spreadsheets as requested by staff.  Maintains the forms library.

Meets with supervisor regularly to discuss issues, opportunities, and provide input.

Completes purchase orders, purchasing and reconciliation tasks.

Checks and routes mail daily.

Participates in team meetings and clerical staff meetings.  Attends professional development trainings.

Knowledge, Skills and Abilities:  

Ability to operate word processing equipment.  Ability to use correct spelling, punctuation, grammar and format to produce letters, memos and other standard business documents.  Skill in typing. Ability to plan, organize, and coordinate work assignments.  Ability to multi-task and prioritize assignments. Ability to establish and maintain effective working relationships with others.  Ability to communicate effectively verbally and in writing. Ability to scan and manage the EHRs of clients. Ability to go out into the community and complete purchasing responsibilities.  Ability to complete basic math.

 

Minimum Qualifications:  High School degree or Equivalent, and 1 or more year's experience in clerical or secretarial work, including scanning, completing written correspondence, and data entry. Typing 35 WPM or more.
