JOB DESCRIPTION
The Client Support Coordinator assists with sales support and everyday operational sales
tasks to ensure an efficient process for active and potential accounts, contributing to our
overall company success. The role focuses heavily on client and account support. This role
requires a strong knowledge and understanding of the sales responsibilities, contracts,
compliance and other business needs. Accuracy, attention to detail, critical thinking, and a
high sense of urgency are key attributes in this role. This position reports directly to the
Client Support Manager.
Compensation for the Client Support Coordinator role is $25 - $30 hourly depending on relevant
experience and level. A description of benefits is included above in the About Us section.
JOB REQUIREMENTS
Responsibilities
Client & Sales Support
  • Assist with research and analysis on leads, prospect lists and contacts.
  • Assist with sales-related support (i.e. contracts, audits, SOW support, program communication, client/candidate interview scheduling, open job order support, etc.).
  • Phone support for clients and candidates.
  • Successfully manage client relationships by providing exceptional support and resolving inquiries in a timely manner for an excellent customer experience.
  • Monitor client/candidate feedback and proactively address concerns by alerting the AE.
  • Assist clients with timecards and/or invoice questions and any additional issues.
  • Assist with special billing and invoicing requests as needed.
  • Assist with preparation and even attend important client meetings with Account Managers.
  • Partner with Marketing on sales initiatives (Lead Gen campaigns).

Contract Support
  • Upload agreements to be reviewed and to be made active in CLM.
  • Upload signed contracts/SOWs to Cyrus (mandatory).
  • Assist with TOB requests for Cyrus.

MSP/VMS Support
  • Update login information for MSP/VMS systems in Cyrus notes.
  • Assist with MSP/VMS audits as needed.
  • Main POC for MSP/VMS as requested by client.
  • Miscellaneous MSP/VMS requests as needed.

Administrative Support
  • Manage and update information in our client database (HubSpot) and ATS (Cyrus), including contact information, contracts, and other digital files.
  • Support the implementation of new processes and tools, such as HubSpot and Cyrus, to streamline client support operations and improve overall efficiency.
  • Help identify gaps in current sales resource materials and sales processes.
  • Ad hoc projects and reporting as needed.

Core Experience & Skills
  • Minimum of 2+ years of experience in a Coordinator or other support role.
  • Previous experience in the staffing industry is preferred.
  • Passion for customer service and strong ability to handle customer requests and issues with urgency and accuracy.
  • Strong focus on urgency, accuracy, and ability to manage multiple tasks concurrently.
  • Excellent written and oral communication skills and professionalism on the phone with both candidates and clients.
  • Dedication to resolving challenges with a solutions-focused approach.
  • Strong collaboration abilities across multi-departmental personnel.
  • A keen eye for detail.
  • Proficient knowledge of Microsoft Excel, SharePoint, and PowerPoint tools.
  • Experience with Vendor Management Systems and/or Managed Service Providers is a plus.
